Already sent a software invitation to an employee but want to nudge them to accept? You can resend them their software invitation at any time.
A note on pending software invitations
The software invitation process is changing as of July 24, 2026. On that date, the "Pending Invitation" page within the "People" tab is being retired; instead, pending software invitations can be sent directly from the "Employee Directory" page.
Important: As part of this change, any pending software invitations will be lost on July 24. To avoid losing pending software invitations, please resend these invitations before July 24.
In the event you lose your pending invitations, you can manually reinvite employees to the PI software at any time. To do so:
(Bulk option) Upload an organization data file with any/all the employees you'd like to give software access to.
(Individual option) Create a new employee record and select the "grant software access" checkbox. Repeat for each employee.
Do I have any pending software invitations?
To check whether your organization has any pending employee software invitations:
Log in to the PI2 software.
Click the gear icon in the top-right corner.
Select the "Pending Invitations" page on the left-hand side. (After July 24, 2026, this page will no longer exist.)
You will land on the Pending Invitations page.
Here, you will see any pending software invitations that have not yet been accepted by employees at your organization.
If the page is blank (i.e., the table says "No Rows to Show")
Your organization has no outstanding software invitations. In this case, no action is needed.
If the page contains employee names
Your organization currently has outstanding software invitations. On July 24, 2026, these invitations will disappear, meaning you will need to manually send them new software invitations (either by uploading an organization data file or by creating new individual records in the directory).
If you're comfortable uploading an org file or manually creating records, no action is needed. Feel free to send fresh PI software invitations whenever is convenient.
However, if you wish to avoid doing this work, the easiest action to take is to resend these invitations before July 24. Doing so will automatically add these employees to your directory (even if they do not accept the invite!), allowing you to resend their invitations in the future via the employee directory, even after July 24.
To resend pending invitations:
Click the ellipsis button (...) on the right-hand side of an employee's name.
Click "Resend invitation."
Repeat for any employees you'd like to grant software access to.
These employees will be added to the employee directory.
Please note: This page does not support bulk actions. If your organization does have 10s or even 100s of pending employee assessments on this page, the easiest action is likely to upload an org file containing the employees shown on this page. This will allow you to resend software invitations and add these employees to your directory, all in one motion.
What will the new experience look like?
After July 24, 2026, all pending software invitations will be handled via the employee directory.
To resend invites after July 24:
Click the "Filters" button on the employee directory.
Click the "User access" filter.
A new filter option will be available: "Pending invitation."
Select the "Pending invitation" option.
Your directory will be filtered to show only employees with pending software invitations.
Click the ellipsis button (...) to the right of an employee's details.
Click "Resend invitation" from the available options. (This option is still being finalized and may change before July 24.)
The software invitation email will be resent to the employee's email.
Repeat as needed for other employees whose software invite you'd like to resend.

Up until recently, pending software invitations were not tied to an actual employee record; they were temporary. Only upon accepting the invite would the PI system create a matching employee record for this person.
Now, that backend functionality behaves differently. When you send (or resend) a software invitation, the system immediately creates a matching record in the employee directory.

No. Any employee records (and data) located in your employee directory remains unchanged and will not be impacted by this change.

No. If all pending invitations already have corresponding records in the employee directory, you're good to go. No further action is needed, and you won't lose any pending invitations after July 24.
However, if a pending record exists but you don't see a corresponding record in your directory, you will lose that record unless you take action. In this case, we recommend resending that specific invite. Doing so will automatically create a corresponding record in the employee directory and retain the software invitation post-July 24.

That's perfectly fine. The moment you click "Resend invitation," an employee record will be created in your directory. (This is new functionality, which is why the system didn't do so in the past.)
Just the act of resending invitations will allow you to preserve these invitations post-July 24 — even if the employee(s) don't accept until later.
