Employee folders in PI2

Product: Platform

Release type: Feature parity

Tentative release month: December 2026

Who it's for: Users who used folders to organize and/or restrict visibility for employees in Legacy PI.

What it solves: Continue to use employee folders in PI2.

If your organization upgraded from the Legacy PI platform, you may be familiar with the concept of folders. By putting employees, candidates, and jobs into various folders, you could organize your data and restrict visibility of that data as needed.

In PI2, job folders already exist, allowing you to organize jobs and restrict access to those jobs (and their candidates).

With this update, we'll be adding employee folders to PI2, making it easier for users to organize employees and restrict visibility of their data.

Note: Employee folders are still in active development. The following details may change ahead of release.

How employees folders work in PI2

Employee Folders will have a dedicated page within Organization Settings. There, organization admins and Inspire admins will be able to:

  • View existing folders

  • Create new folders

  • Modify the existing folder structure

  • Grant access to specific folders

Other product admins will also be able to create and view/modify folders; however, which folders they can see/edit is dictated by what they've been granted access to.

Restricting employee visibility via folders

Employee folders can be used in one of 2 ways:

  • Purely for organizational purposes

  • To organize and limit access to employee data

When used just for organization, you'll see a message indicating that folder access isn't being enforced.

However, within Behavioral Data Permissions (BDP) settings, you'll see a new option to restrict data visibility by Folder structure. Select that option, and BDP will be applied not based on manager-team hierarchy, but on which users have access to which folders.

If BDP is restricted by employee folder structure, a user will only be able to search for and view employees whose folders they have access to view.

Exception: Jobs in Hire and teams in Design supersede BDP settings. If a user has access to a job or team with employee data, they will see that data even if they don't have access to that employee's folder.

FAQs

Has the employee folders update for PI2 been released yet?

No. This release is planned to release sometime in December 2026.

Do I have to use employee folders once live?

No. This is an optional setting that is recommended for accounts who wish to restrict employee data visibility based on folder structure.

You're also welcome to use employee folders for solely organizational purposes, though we've designed PI2 in a way that doesn't require folders.

Can the same employee be in multiple folders?

No. An employee can only be in one folder at a time. Instead, you can nest folders within one another (e.g., have different teams roll up to a single department folder) and grant access to the parent folder. Doing so will grant access to all folders nested within.

What happens when an employee takes the Behavioral Assessment via employee link? Which folder will the appear in?

If an employee's record doesn't already exist in PI2, they will appear as an "uncategorized employee" upon taking the assessment via employee link.

Use the "Uncategorized employees" subtab to quickly find employees who have not yet been categorized into a folder.

Note: Employee folders are still in active development and may change ahead of release.
