What is a cognitive admin?

Learn about the cognitive admin user role in The Predictive Index, what permissions it has, and how to promote or demote a cognitive admin.

This article applies to organization admins in the PI2 software.


Cognitive admin is a toggleable permission available to any organization admin. A cognitive admin can grant cognitive access to any employee in PI Hire.

What is cognitive access?

Cognitive access is the ability to view cognitive data and send Cognitive Assessments in Hire.

By default, employees do not have cognitive access. They must be granted that access by an existing cognitive admin.

Who is my cognitive admin?

Cognitive admin is assigned to the first organization admin at your company. This status is assigned automatically.

Note: For subsequent organization admins, cognitive admin will be disabled by default. Only an existing cognitive admin can promote or demote other cognitive admins.

How to promote a cognitive admin

  1. Log in to the PI software

  2. Click the gear icon () in the top-right of the navigation bar.

  3. You will land on your employee directory.

  4. Click "Employee Access Settings" on the left-hand side.

  5. Search for the name or email of the employee you'd like to make a cog admin.

  6. Click on the person's name.

  7. You'll land on their "Edit employee details" page.

  8. Scroll down to the "Admin Permissions" section.

  9. Click the "Make Organization Admin" checkbox (if not already selected).

  10. Click the "Make Cognitive Admin" checkbox.

  11. Confirm by hitting the "Save changes" button.

How to demote a cognitive admin

  1. Follow steps 1 through 8 from the section above.

  2. De-select the "Make Cognitive Admin" checkbox.

  3. (Optional) De-select the "Make Organization Admin" checkbox.

  4. Confirm by hitting the "Save changes" button.

How to grant/revoke cognitive access for an employee

From the Employee Access Settings page:

  1. Search for the employee for whom you'd like to grant/revoke cognitive access.

  2. Click on the person's name.

  3. You'll land on their "Edit employee details" page.

  4. Scroll down to the "Product Access" section.

  5. Click the "Access Level" dropdown for Hire, then assign the user an access level (if they don't already have access).

  6. Select/deselect the checkbox titled "Has cognitive access."

  7. Confirm by hitting the "Save changes" button.

Note: To grant/revoke cognitive access, you must be a cognitive admin.

FAQs

General questions

Do cognitive admins automatically have cognitive access?

Yes. Any cognitive admin automatically has cognitive access.

Are there any restrictions on the cognitive data that cog admins have access to?

No. Because cognitive admins must also be organization admins, this means cog admins have full access to PI Administration and all PI products, including Hire.

Coupled with their cognitive access, this means cognitive admins have unrestricted access to cognitive data at your organization.

Is it possible to be a cognitive admin but not an organization admin?

No. Cognitive admin privileges can only be granted to an organization admin. (The software will not make the "Make a Cognitive Admin" checkbox clickable unless the "Make an Organization Admin" checkbox has already been selected.)

Tip: Want to let someone view cognitive data without making them an organization admin? Grant that person cognitive access in Hire using the "Additional permissions" menu in PI Administration.

Do third-party users have cognitive access?

Third-party users do not have cognitive access by default. That said, you can grant them cognitive admin access — and thus cognitive access by extension — from the Third Party Users page.

Troubleshooting

Why isn’t “X” organization admin also a cognitive admin?

Only the first organization admin at your company has cognitive admin access to start. This person must manually enable cognitive admin access for subsequent organization admins.

Note: Any cognitive admin can promote/demote other cognitive admins. This means whoever had cognitive admin access by default may no longer have it.​

The “Make cognitive admin” checkbox is greyed out. Why?

Only an organization admin can become a cognitive admin.

Verify that the “Make organization admin” checkbox is toggled on before you select the “Make cognitive admin” option.

How do I find a current cognitive admin?

You can easily find any employee’s access levels (including cognitive admins) from the Employee Access Settings page.

To find an active cognitive admin:

  1. Log in to the PI software.

  2. Click the gear icon () in the top-right of the navigation bar.

  3. You will land on the People tab in Administration.

  4. Select "Employee Access Settings" on the left-hand side.

  5. You’ll see a summary of every employee’s access levels.

  6. Click the table header titled Cog Admin.

  7. Click the Cog Admin header a second time.

  8. The list will filter for any active cog admins, denoted with a checkmark.​

Note: You must be an admin to view the Employee Access Settings page.

I'd like to disable the Cognitive Assessment. Is that possible?

While there's no way to outright disable the Cognitive Assessment, you can always limit cognitive access — and, thus, limit the ability to send the CA or view cognitive data.

How to do this:

  1. Revoke cognitive access for any PI users at your organization who no longer need access to cognitive data.

  2. Demote any cognitive admins who no longer need access to cognitive permissions.

Important: To restrict cognitive access and/or cognitive admin permissions, you must also be a cognitive admin.
