Initiating a review cycle

Learn how to prepare and set up an employee review cycle in PI Perform, and help your workforce reflect on their progression over time.

Use the Review Administration page to create and manage review cycles for your organization.

How to create a review cycle

  1. Log in to PI Perform.

  2. Click on “Reviews” on the left-hand side.

  3. Select “Review Administration” from the options.

  4. You’ll land on the “Review cycles” tab of the Review Administration page.

The following depends on whether your organization has/hasn't launched a review cycle before:

If your organization has launched a review cycle before:

You can initiate a new review cycle by clicking the “Create new cycle” button in the top-right corner.

Important: If you see a notification saying “You have employees who won’t receive a review,” it means you’re missing data needed to include certain employees in the review cycle. Learn how to fix missing organization data.

If your organization hasn’t launched a review cycle before:

You will be prompted to complete the following preliminary steps:

Once you've uploaded org data and feel comfortable with your review template, click "Create new cycle" to begin.

Configuring your review cycle

Upon clicking "Create new cycle," you will land on the "Set up" page. Here, you'll walk through various steps to configure your review cycle.

From the review cycle "Set up" page:

  1. Enter a name and description for your review.

  2. Review the educational information about review participants.

  3. Hit “Next” to proceed.

  4. Select your template from the dropdown.

  5. Click “Next.”

  6. Select who you'd like to be reviewed. (You can choose to include all eligible employees, or a specific subset of employees.)

  7. If you select "A subset of employees," you will be prompted to select the specific employees and/or departments you'd like to include as part of the cycle.

    Example: If you're doing a performance review for your sales team, you would select "Sales" under the department dropdown.

  8. (Optional) Set exclusion rules for this review cycle

    • Selecting "Require a minimum tenure..." will allow you to exclude any employees who don't meet the minimum tenure at the time the review cycle begins. (You can select either 90 days, 60 days, or 30 days.)

    • Selecting "Exclude specific employees..." can be helpful if you've selected a department to include, but wish to exclude someone in particular. (For example, for a quarterly sales review, you might include the sales team but exclude the sales manager.)

  9. Once you've set who should (and shouldn't) receive a review, click the hyperlink titled "X total review recipients" at the bottom of the page.

    (Example: In the above case, there were 28 salespeople eligible for review. After setting exclusion rules, only 25 total people will be included in the review cycle.)

  10. A panel will open, allowing you to preview the number of review recipients who are currently set to receive a review.

    Tip: If you notice someone who should be included here but isn't, consider the following:

    • Is this person "eligible" for review? Learn more about eligibility for reviews.

    • If you selected a subset of employees, did you include this person? (See step 7.)

    • Was this person excluded based on minimum tenure restrictions? (See step 8.)

    • Did you exclude this person by accident? (See step 8.)

  11. Once you're good with the people included for review, click “Next.”

  12. You will be prompted to set the timeline for your review cycle.

  13. Enter deadlines for each step of the review process ("Self reviews due," "Manager reviews due," and "Share by date").

  14. Proceed with "Next."

  15. Review your details for accuracy.

  16. (Optional) Click edit to modify any part of the cycle you’d like to update.

Launching your review cycle

After reviewing your review cycle details, you can either launch your review cycle right away, or you can schedule it for a later date and time. (You can also click "Save & Exit" to save as a draft and revisit later.)

To launch:

  1. Click “Launch review cycle” on the right-hand side.

  2. Confirm by hitting “Launch review cycle” again.

To schedule:

  1. Click “Schedule for later” on the right-hand side.

  2. Select a launch date and time.

  3. Click "Schedule launch."

  4. Review the details and click "Schedule launch" to confirm.

  5. Your review cycle will be scheduled.

Note: You can modify your launch date at any time. To do so:

  1. Select your scheduled review cycle from the "Review Administration" page.

  2. Click "Revert to draft" in the top-right corner.

  3. Click "Yes, revert to draft" to confirm.

  4. Your review cycle will revert to a draft state. Reschedule it at any time by selecting "Schedule for later" on the right-hand side.

FAQs

How does Perform determine an employee’s “minimum tenure”?

An employee’s minimum tenure is calculated based on their “Date of Hire,” a data field that is collected when uploading organizational data in Administration.

Do I have to set a minimum tenure for my review cycle?

No. The minimum tenure setting is an optional field.

Can managers and direct reports submit reviews past their due date?

Yes. The due dates for self and manager reviews are meant as loose guidelines. A person’s review will not “close” after the deadline passes.

Can I modify due dates after a review cycle is launched?

It’s not currently possible to modify due dates once a review cycle is launched. However, these due dates are not hard deadlines and will not lock a person out of completing a review.
