Using PI’s Paylocity ATS integration

Learn how to access PI candidate data in Paylocity using our ATS integration, so you can streamline your existing hiring flow.

Once you've connected The Predictive Index to Paylocity, you can start taking advantage of PI's behavioral and cognitive insights, right within your ATS platform.

In this article, we’ll walk through how to use PI’s Paylocity integration as part of your existing hiring workflow.

How PI’s Paylocity ATS integration works

Our integration allows you to perform the following actions directly from Paylocity:

  • Send PI assessments to candidates

  • Track assessment activity (e.g., completion status)

  • View high-level assessment results (e.g., Reference Profile, Fit Rating)

In short: With the Paylocity integration, you can now send assessments to a candidate, monitor progress, and get important PI insights, all without leaving your ATS.

Prerequisites before using the integration

Before using the integration, make sure you’ve taken the following steps:

  1. Complete the configuration process. (Requires PI organization admin privileges)

  2. Create a job in PI Hire that aligns with your job in Paylocity.

    Example: If you’re tracking applicants in Paylocity for a BDR role, you should have a matching BDR role in PI.

  3. Set an active Behavioral Target (and Cognitive Target, if applicable).

Note: If a Behavioral/Cognitive Target is not set, candidate scores will not be posted to Paylocity.

Next, you’ll want to navigate to Paylocity to enable PI assessments for your Paylocity job. (See next section.)

Enabling PI assessments for your Paylocity job

When creating a new job in Paylocity, look for the “Assessments” section.

Here, you’ll be able to configure any assessments you might want to use for this specific job.

To enable PI assessments:

  1. Toggle “Yes” next to “Preselect Assessments for this job.”

  2. Click the dropdown titled “Assessment Package.”

  3. Select “PI Assessments” from the available options.

  4. Select which PI assessments you’d like to send candidates as part of this job. (You can select the Behavioral Assessment, the Cognitive Assessment, or both.)

    Note: When selecting these assessments, make sure you’ve set an active Behavioral Target and/or Cognitive Target within PI. If a target is not set, candidate scores will not be posted to Paylocity.

  5. Select whether you’d like to “Automatically Assign” assessments (i.e., auto-send once candidates complete their application) or “Manually Assign” them yourself using Paylocity.

  6. Continue with the Paylocity job creation process.

Once you’ve configured the job in Paylocity, you’ll want to head over to The Predictive Index to set up the equivalent job on the PI side. (See next section.)

Associating your job in Paylocity with one in PI Hire

To finish the setup, you’ll want to tie your job in Paylocity to the equivalent in PI Hire.

How to set up your job in PI Hire

  1. Log in to the PI software.

  2. Select Hire from the top navigation bar.

  3. Create a new job or select an existing job you’d like to associate with Paylocity.

  4. Set a Behavioral Target and/or Cognitive Target for the job (if you haven’t already).

How to associate your Paylocity job with your PI job

This process varies slightly depending on if you’re creating a new job in PI Hire or you’ve selected an existing job.

If you’re creating a new job in PI Hire:

  1. Find the text bar titled “Paylocity job association.”

  2. Enter and select the Paylocity job you’d like to associate with your PI job.

  3. (Optional) Enter and select additional Paylocity jobs to associate with this PI job.

  4. Click “Continue” to confirm.

  5. Proceed with the rest of your PI job creation process.

If you’ve selected an existing job in PI Hire:

  1. Click the pencil icon within the PI job you just selected.

  2. A panel titled “Edit Job” will open.

  3. Under “Paylocity job association,” enter and select the Paylocity job you’d like to associate with your PI job.

  4. (Optional) Enter and select additional Paylocity jobs to associate with this PI job.

  5. Click “Save changes” to confirm.

Tip: Multiple Paylocity jobs can be associated with a single PI job.

Example: A company has 5 customer service jobs in Paylocity, each covering a different geographical region or city (e.g., “Customer Service Representative, Boston”).

Rather than create 5 identical jobs in PI Hire to match Paylocity, you can instead associate all 5 of those jobs in Paylocity with a single “Customer Service Representative” job in PI Hire.

Triggering the integration in Paylocity

Once the Paylocity job is configured and tied to PI Hire, the integration is ready to be used.

The integration can be triggered by Paylocity in two ways. (Read the option that corresponds with the setting you selected earlier: “Automatically Assign” or “Manually Assign.”)

Option 1: “Automatically Assign”

If you selected “Automatically Assign” during the Paylocity job setup, the integration once a candidate submits their application.

Upon clicking “Submit,” the candidate will be emailed the relevant PI assessment(s). They will also receive a message prompting them to check their inbox.

Once the candidate completes their assigned assessments, their results can be viewed in Paylocity. To access:

  1. Select the candidate’s name in Paylocity.

  2. Click the “Evaluations” tab.

  3. Select “Assessment” directly under the “Evaluations” tab name.

If the candidate took the PI Behavioral Assessment, you will see:

  • Their PI Reference Profile (out of 17 possible profiles)

  • Their Behavioral Fit Rating for the job (presented on a half-point scale from 1 to 5)

If the candidate took the PI Cognitive Assessment, you will see:

  • Their Cognitive Score (ranges from 100 to 450)

  • Their Cognitive Fit Score (either “strong fit,” “moderate fit,” or “cautionary fit”)

To drill further into a candidate’s behavioral or cognitive fit, click the link titled “PI Candidate Page.”

This will bring you to the candidate’s page in PI Hire, allowing you access to full results as well as additional features like the PI Interview Builder.

Alternatively, you can click the “View Report” link next to a Behavioral or Cognitive Report. Doing so will bring you right to the relevant report in Hire, so you can read the contents.

Option 2: “Manually Assign”

If you selected “Manually Assign” during the Paylocity job setup, you can trigger the integration from each candidate’s “Evaluations” page in Paylocity.

To do so:

  1. Select the candidate’s name in Paylocity.

  2. Click the “Evaluations” tab.

  3. Select “Assessment” directly under the “Evaluations” tab name.

  4. Click the “Assign Assessment” button.

  5. Select which assessment(s) you’d like to assign the candidate.

    Note: The assessments you’re available to assign will match what you originally configured for this job. If you originally set the job to only assign the Behavioral Assessment, only that assessment option will appear here.

  6. Click “Assign” to confirm.

Important: When manually assigning PI assessments, it is important to do so responsibly. To avoid hiring bias and ensure a fair and objective process, we strongly recommend that all candidates for a job receive the same package of PI assessments.

Example: If you send the Cognitive Assessment to one candidate for a job, the rest of the candidates for that job should receive the Cognitive Assessment as well.

The candidate will be emailed the relevant PI assessment(s). In Paylocity, you will see the status of these assessments:

Once the assessments are completed, return back to the candidate’s Evaluations page in Paylocity to view the results.

If the candidate took the PI Behavioral Assessment, you will see:

  • Their PI Reference Profile (out of 17 possible profiles)

  • Their Behavioral Fit Rating for the job (presented on a half-point scale from 1 to 5)

If the candidate took the PI Cognitive Assessment, you will see:

FAQs

What does the ID number under “Paylocity job association” refer to?

When selecting Paylocity jobs to associate with your job in PI Hire, you may notice that each job has a corresponding ID number in parentheses.

This ID refers to an unique identifier used by Paylocity, and is found throughout the Paylocity software (e.g., on the jobs list, within the job itself).

Tip: If you have many different Paylocity jobs with the same title, the ID number can be an effective way to find what you’re looking for.

I don’t see the “Paylocity job association” field in Hire. Why?

The “Paylocity job association” field only appears in Hire once you’ve configured the Paylocity integration in Administration.

If you’ve already configured the integration, verify that the integration is currently enabled.

I’m looking for the Behavioral/Cognitive Report. Where can I find it?

You can find the Behavioral and Cognitive Reports by navigating to a candidate’s “Evaluations” tab in Paylocity.

While the actual report content isn’t surfaced in Paylocity, you can click “View Report” where prompted. Doing so will bring you to the relevant resource in PI Hire, so you can read the report in full.

Is it possible to download the Behavioral or Cognitive Report?

Yes—you can do so from the PI software. For specific instructions, visit the relevant support article:

Are there any best practices when sending assessments to candidates?

When manually assigning PI assessments, it is important to do so responsibly. To avoid hiring bias and ensure a fair and objective process, we strongly recommend that all candidates for a job receive the same package of PI assessments.

Example: If you send the Cognitive Assessment to one candidate for a job, the rest of the candidates for that job should receive the Cognitive Assessment as well.
