Behavioral data permissions

Modifying behavioral data permissions

This article applies to organization admins and third-party users in the PI2 platform

PI2 is the latest version of the Predictive Index software.
If you are using a legacy version of PI, this article will
likely not match your experience.
Which product version do I have?

The Behavioral Data Permissions (“BDP”) setting lets organization admins control the level of visibility that PI software users have into employee behavioral data.

In this article, we’ll explain how to set behavioral data permissions for your organization or review your existing settings.

Note: Need more context before modifying your permissions? Learn how BDP works.

Why set behavioral data permissions?

At The Predictive Index, we believe organizations perform best when employees understand not just themselves behaviorally, but each other. To help foster this culture, we recommend an “open” approach to data permissions where employees can view behavioral data freely.

That said, we understand behavioral data can be viewed as sensitive. With behavioral data permissions, we give you the flexibility to decide how open or restricted you’d like to make this data based on the needs of your organization.

Important: Behavioral data permissions apply only to employee behavioral data. Cognitive data is never shared beyond those with explicit cognitive access, regardless of your BDP settings.

How to set behavioral data permissions

  1. Log in to the PI software.
  2. Select the gear icon in the top-right corner.
  1. You will land in Administration.
  2. Select “Behavioral Data Permissions” on the left-hand side.
  1. You will land on the Behavioral Data Permissions page.

Here, you will be presented with two top-level options: “Open” and “Restricted.”

“Open” behavioral data permissions

Open is the default setting for new PI accounts. When enabled, open permissions allow PI users to view and share employee behavioral data freely.

We recommend enabling open permissions if your organization would like to:

  • Foster an environment of self and team awareness.
  • Promote behavioral transparency across your organization.
  • Encourage employees to learn each other’s behavioral strengths and cautions.

Note: An organization can have open behavioral data permissions but still limit access to specific PI products and features. To do so, set or review your employee access levels.

To enable open BDP settings:

  1. Select “Open” from the available options.
  2. Click “Save Changes” to confirm.

“Restricted” behavioral data permissions

Restricted is an opt-in setting. When enabled, restricted permissions will automatically prevent PI users from searching employee behavioral data beyond their allowed permissions. (In general, we recommend using the “Open” setting unless your organization must adhere to particularly sensitive data policies.)

There are four allowed permissions in total, three of which can be toggled to fit your organization’s needs:

  • Managers can view their direct reports’ behavioral data (always enabled)
  • Managers of managers can view everyone who reports up to them
  • Users can view their direct manager’s behavioral data
  • Team members who report to the same manager can view each other’s behavioral data

Example: If you click “restricted,” then toggle nothing else, only managers will be able to view behavioral data. However, you can modify these settings to allow team members to view each others’ data, or even their manager’s data.

To enable restricted BDP settings:

  1. Select “Restricted” from the available options.
  2. Review each permission checkbox.
  3. Enable checkboxes based on your organization’s specific needs.
  4. Click “Save Changes” to confirm.

Important: To fully implement restricted BDP settings across your organization, you’ll need manager data for every person in your employee directory. Learn how to update manager data.
