Deleting old assessment records in Legacy

Learn how to delete assessments you no longer need ahead of your upgrade date, and ensure your data is up to date for PI2.

As you prepare for your upgrade date, it can be helpful to review existing assessment records and retire any data you no longer need.

In this article, we'll explain how to delete expired or pending assessment invitations, so you can start PI2 with a clean slate.

How to delete pending assessments in Legacy PI

  1. Log in to the PI software.

  2. You will land on the dashboard.

  3. Under Pending Assessments, click the "View All" button.

  4. You will see a list of all pending (or expired) assessments, sorted from most recently sent to least.

  5. Select the checkbox(s) next to any person(s) you no longer need to assess.

    Example: You might delete pending/expired assessments for candidates who didn't get the job, or employees who are no longer with your organization.

  6. Click the "Admin" dropdown on the right-hand side.

  7. Click "Delete" from the available options.

  8. A confirmation pop-up will appear.

  9. Click "Delete" to confirm.

  10. The individual(s) and their pending/expired assessment(s) will be deleted.

Important: If you navigate to Pending Assessments and see the message, "No Results Found," it means your organization has no pending assessments.

However, you might have older assessment invites that have since expired.

In the next section, we'll explain how to find and delete expired assessment invites in Legacy ahead of your PI2 upgrade date.

How to delete expired assessments in Legacy PI

  1. Log in to the PI software.

  2. You will land on the dashboard.

  3. Select "Folders" within the Browse menu.

  4. Select the top-most folder level. (Or, if you have a specific subset of data in mind, click into that folder.)

  5. Click the header titled "Ref Profile" on the right-hand side.

  6. This will sort all assessments so that pending/expired assessments are listed at the top.

  7. Select the checkbox(es) next to any person(s) you no longer need to assess.

    Example: You might delete pending/expired assessments for candidates who didn't get the job, or employees who are no longer with your organization.

  8. Click the "Admin" dropdown on the right-hand side.

  9. Click "Delete" from the available options.

  10. A confirmation pop-up will appear.

  11. Click "Delete" to confirm.

  12. The individual(s) and their pending/expired assessment(s) will be deleted.

FAQs

Do I need to delete old assessments prior to my upgrade date?

No, it isn't mandatory to delete old assessment data before upgrading to PI2.

That said, we strongly recommend doing so, especially if your organization has assessed a large number of employees and/or candidates. (See next question.)

What happens if I don't clean up old assessment data?

With PI2, we took a conservative approach to data migration. All assessment data will carry over from Legacy to PI2, ensuring you have access to any data you might need.

However, because PI2 is organized differently than Legacy PI, certain records might not be located where you're used to.

Example: Your organization sent the Behavioral Assessment to several employees who are no longer with the company. Those employees never completed the assessment, so you never took action to delete them.

In PI2, those employees may appear in your directory, despite no longer being with your organization.

If you're looking to hit the ground running in PI2, we recommend taking time ahead of your upgrade date to clean up existing data and delete any old assessments you know you no longer need.
