Granting software access to employees in bulk

Learn how to grant software access to employees in bulk, and invite them to create a PI account and log in to the software in one single motion.

This article applies to organization admins, product admins, and third-party users in the PI2 software.


When you upload organization data, you populate your employee directory with the records of various employees from your organization. However, unless you invite these employees into the PI software, those employees will not be able to log in to PI to leverage products like Inspire or tools like Obi.

In this article, we'll explain how to grant employees access to the PI software in bulk.

How to grant software access in bulk

  1. Log in to the PI software.

  2. Click the gear icon in the top-right corner.

  3. You will land on the employee directory in Administration.

  4. Click the "Filter" button.

  5. Click the "No user account" filter under "User access."

  6. Your directory will be filtered to show employees who do not have PI software accounts.

  7. Click the checkbox(es) next to the employee(s) to whom you'd like to grant software access. (Alternatively, you can select the top-most checkbox to select all employees within this filter.)

  8. Click the "Actions" button.

  9. Click "Update software access" from the dropdown options.

  10. A panel titled "Update software access" will open.

  11. Under "Access Level," select the access levels you'd like to grant to these employees.

    Important: These access levels will be granted in bulk. If you want to grant certain employees access to X product, and others access to Y product, you'll want to perform separate bulk actions.

  12. (Optional) Under "Additional Permissions," enable any relevant permissions you'd like these employees to have.

  13. Confirm with "Update software access."

  14. These employees will be sent an email inviting them to create a PI account and log in to the software for the first time.

FAQs

How do I grant access to employees with existing user accounts in bulk?

If employees already contain existing user accounts, but their software access has since been disabled, you can grant them access again at any time.

To grant access to these employees in bulk:

  1. Navigate to the employee directory.

  2. Click the "Filter" button.

  3. Select the "Has user account" filter under "User access."

  4. The directory will filter to show all employees with existing software accounts.

  5. Click one of the software product headers (Hire, Inspire, Design, Diagnose, Perform).

  6. This will sort the filtered records to show descending levels of access to the selected product (starting with "no access" or "--").

  7. Scroll until you see an employee that has "--" for all 5 PI products. (This means they have an existing PI software account, but do not have access to any available products.)

  8. Click the checkbox next to this employee's name.

  9. Repeat for any other employees that also have no access to all products.

  10. Click the "Actions" button.

  11. Click "Update software access" from the dropdown options.

  12. A panel titled "Update software access" will open.

  13. Under "Access Level," select the access levels you'd like to grant to these employees.

    Important: These access levels will be granted in bulk. If you want to grant certain employees access to X product, and others access to Y product, you'll want to perform separate bulk actions.

  14. (Optional) Under "Additional Permissions," enable any relevant permissions you'd like these employees to have.

  15. Confirm with "Update software access."

  16. These employees will be sent an email inviting them to log back in to the software.
