Viewing and managing transferred people

This article applies to organization admins, third-party users, and product admins in the PI2 platform

PI2 is the latest version of the Predictive Index software.
If you are using a legacy version of PI, this article will
likely not match your experience.
Which product version do I have?

If you recently upgraded from the legacy PI software, you might wonder why someone isn’t showing up within your employee directory in Administration or your candidates list in Hire.

Use the Transferred People page to view people who aren’t currently categorized as an “employee” or a “candidate.” You can then move these people to your employee directory or candidates list, or you can archive their records.

 

How “transferred people” works

To make the most of the Transferred people page, it’s important to know how “person types” worked in legacy PI, and what’s different in PI2.

Person types in legacy PI

In the legacy PI experience, you could create the following person types:

  • Employee
  • Candidate
  • Other (i.e., neither an employee nor a candidate)
  • Former employee (only available in older legacy PI accounts)

If a person never received a person type, they were classified as unknown.

For your new PI experience, we want to ensure your employee directory is accurate while reducing admin upkeep. 

To accomplish this, we’ve updated our criteria for categorizing people. Now, there are just two people types: employees and candidates. (Learn more about how we updated our criteria.)

We hope the change helps you and your organization get more from your upgrade experience, faster.

How to view transferred people

  1. Log in to the PI software.
  2. Click the gear icon () in the top-right of the navigation bar. 
  1. Click “Transferred people” on the left-hand side.
  1. You will land on the Transferred People page.

Here, you can filter people by legacy PI type (e.g., other and unknown) and recategorize them for the new PI experience.

How to move transferred people

Want to move people from Transferred People to your employee directory or Candidates list? Here’s how.

Moving a person to the employee directory

From the Transferred People page:

  1. Search the name or email of the person you’d like to move.
  2. Click the ellipsis icon to the right of their information.
  3. Select “Move to employee directory.”
  1. (Optional) Update the person’s email address. (We recommend doing this if the employee has an email that matches an allowed organization email domain.)
  2. Click “Move to the employee directory.”

Moving a person to the Candidates list

From the Transferred People page:

  1. Search the name or email of the person you’d like to move.
  2. Click the ellipsis icon to the right of their information.
  3. Select “Move to Candidates list.”
  1. (Optional) Add the person to a relevant job.
  2. Click “Move to the Candidates list.”

How to archive transferred people

From the Transferred People page:

  1. Search the name or email of the person you’d like to move.
  2. Click the ellipsis icon to the right of their information.
  3. Select “Archive person.”
  1. Confirm by clicking “Archive.”

What are the criteria for categorizing people in the new PI?
Here’s a detailed summary:


Who’s considered an employee?

There are a few criteria that determine whether someone is considered an employee:

– If someone’s email matches an allowed organization email domain, they will automatically be considered an employee.

– If someone’s email doesn’t match, but they previously were tagged as an employee or had PI software access, they too will be considered an employee.

Note: If someone’s email matches an allowed email domain but that person previously had their software access revoked by an admin, they are considered an employee but have been archived. (You can unarchive them at any time from the employee directory.)


Who’s considered a candidate?

If someone is attached to a job in Hire, they will automatically be considered a candidate.

Note: Employees and candidates are not mutually exclusive. If someone meets the criteria for both user types, they will be classified as an employee and a candidate.


So, who’s in Transferred People?

Your Transferred People page consists of people who meet all of the following criteria:

– They have an email that isn’t recognized as an employee email and doesn’t match an allowed email domain.

– They were tagged as other, unknown, or a former employee in previous iterations of the PI software.

Note: If a transferred person previously had their software access revoked by an admin, they have been archived. (You can unarchive them at any time from the Transferred People page.)


Important exception! If you had folders in legacy PI to help organize former employees (i.e., folders named “Former employees,” “Terminated employees,” etc.), we will automatically move all employees in those folders to Transferred People for you. (See: What list of terms are you using to identify former employees?)
I’m being prompted to change “X” employee’s email address before moving them. Why?
If you recently upgraded to the new PI experience, it’s likely this prompt is optional. By default, we have enabled upgraded accounts to move employees to the directory without changing their email address.

If the prompt is mandatory, it likely means an organization admin disabled the ability to override allowable email domains.
What if I archive a transferred person? Are they viewable elsewhere?
No. If you archive someone within Transferred People, they will be viewable under the “archived transferred people” filter on this page. They will not show up when filtering for archived employees in your employee directory, as they weren’t previously identified as employees.

If you’d like an archived transferred person to be filterable in your employee directory (e.g., a former employee), we suggest you first move them to the directory and then archive them.
How do I permanently erase a transferred person?
While you cannot outright delete someone’s data, you can anonymize their record

To do so, make sure you’ve first archived them. You will then be able to anonymize them from the Organization Settings tab.

Note: Only an organization admin can anonymize people data.
I can’t find “X” person. What do I do?
To troubleshoot, follow these steps:

1. Try searching for the person from the Transferred People page.

2. Visit your employee directory in Admin and try searching for the person.

3. Access the Candidates tab in Hire and try searching for the person.

If you still cannot find the person, please submit a case with our support team.
Do transferred people contribute to my employee count?
No. Because we have determined that transferred people are, in most cases, non-employees, they will only contribute to your employee count once you move them to your directory.
What list of terms are you using to identify former employees?
If you had folders in legacy PI with any of the following keywords or phrases, we will automatically consider those employees to be “former employees” and move them to Transferred People for you.
