Managing multiple Behavioral Assessments for an employee

Learn how to manage multiple Behavioral Assessment results for an employee, and ensure you’re using the right BA data for their needs.

In certain scenarios, you may have an employee with multiple sets of Behavioral Assessment (BA) results.

In this article, you’ll learn how to view different employee BA results, add new results, and select one as “active” to display across the PI platform.

How to view multiple BA results for an employee

  1. Log in to the PI software.

  2. Select the gear icon () in the top-right corner.

  3. You will land on your employee directory.

  4. Search for the employee whose BA results you’d like to view.

  5. Click on that employee’s name.

  6. You will land on their “Edit employee details” page.

  7. Find the field named “Behavioral Score ID (BSID).”

  8. Click the “Manage assessment” button.

  9. A panel titled “Manage assessment” will open.

  10. Click the dropdown menu in the top right.

  11. You will see a list of all BAs this employee has completed.

  12. Click a set of results.

  13. You will see a preview of the results, including Reference Profile and Behavioral Pattern.

Note: Clicking between different BA results does not impact the employee’s behavioral data. To change the behavioral data that populates across the PI platform, you must first set this particular BA “as active.”

How to set an employee’s Behavioral Assessment as “active”

From the “Manage assessment” panel:

  1. Click the dropdown menu in the top right.

  2. You will see a list of all BAs this employee has completed.

  3. Click a set of results.

  4. You will see a preview of the results, including Reference Profile and Behavioral Pattern.

  5. Click the “Set as active” button.

  6. You will see a success message, and the label next to the assessment will change from "Inactive" to "Active."

Upon setting a new active assessment, the employee’s behavioral data will be updated across all PI products your organization is currently subscribed to. Learn more about what data gets updated.

How do I add to an employee’s list of BAs?

There are two primary ways of adding to an employee’s list of Behavioral Assessments:

  1. You can manually input a Behavioral Score ID (BSID) for the employee.

  2. You can send the employee a new invitation to take the Behavioral Assessment.

1. Manually inputting an employee's BSID

Expand the "Add assessment via Behavioral Score ID (BSID)" section of the "Manage assessment" panel.

Enter the employee's BSID.

Enter the date the assessment was taken. (If you're unsure, answer to the best of your ability.)

Click "Add assessment" to confirm.

You will receive a success message.

You can select the newly added assessment from the dropdown menu.

2. Sending a new BA invitation

If you decide to send a new assessment invitation, there are a few ways to do so.

  • If the employee has no assessment data, click “Send assessment” from the “Manage assessment” panel.

  • If the employee does have assessment data, click the “Retake assessment” button.

In either case, you’ll see a success message confirming the assessment’s been sent. (The employee will find the assessment invitation in their email inbox.)

FAQs

When would an employee have multiple BA results?

The answer depends. Generally speaking, we recommend people take the Behavioral Assessment a single time.

On average, we’ve found that BA results tend to be stable for up to six years. According to the Bureau of Labor Statistics, the average tenure at an organization in the private sector is 3.5 years. Coupled together, the reality is that most employees who use PI at an organization will leave long before their results have become “outdated.”

Still, there are cases where a person might decide to retake the assessment. If a tenured employee has had BA results for more than six years, they might consider retaking it. Other employees might feel the assessment no longer resonates with them.

What are the reasons to select a new active assessment?

The ability to select between active assessments rests with your organization admin and third-party users (such as your PI consultant). However, it’s important to use this ability carefully.

Does your employee resonate with a particular set of BA results? If so, you might not want to change their active results without consulting them first. Learn more about reasons to select a new active BA.

What behavioral data is updated with a new active BA?

Here’s a breakdown of what employee behavioral data is updated:

  • Hire: The candidate’s Snapshot and Behavioral Report, plus any relevant job fit data, including behavioral fit and interview questions. (Requires the employee also being a candidate.)

  • Inspire: The employee’s Snapshot, plus all Inspire resources, including the Behavioral Report, Relationship Guide, and development guides.

  • Design: Any relevant team data, including the person’s pin data and, potentially, the overall Team Type and related strengths and cautions areas.

  • Perform: The person’s Behavioral Pattern and downloadable Behavioral Report.

Note: Diagnose does not leverage behavioral data. Therefore, selecting a new active assessment does not impact this product.

The “Manage assessment” button is greyed out. Why?

Only organization admins and third-party users have the ability to manage active employee assessments.

If you are a product admin and wish to modify an employee’s active assessment, either:

  • Ask your organization admin to perform this action for you.

  • Request that you become an organization admin yourself.

Does switching or retaking BAs also update Self-Concept data?

No. Currently, switching or retaking Behavioral Assessments will only update the Self. An employee's Self-Concept data in Inspire will not change.

Which version of the Self-Concept does PI default to?

An employee's Self-Concept data in Inspire defaults to the first version of the Behavioral Assessment the employee completes.

Example: You invite an employee to retake the BA. Once they complete the assessment, you set their new results as the "active" BA.

The employee's Self (e.g., their Behavioral Pattern, their Behavioral Report) will be updated across the PI platform. However, their Self-Concept will remain unchanged.

Exception: If you recently upgraded to PI2 from a Legacy version of the software, the Self-Concept will default to each employee's most recent version as of your upgrade date.
