Preparing your job and candidate data for PI2

Learn how to prepare your data from Legacy PI Hire — including pending Job Assessments and candidate folders — for PI2.

As you prepare for your upgrade date, we recommend reviewing your existing data so you can get up and running quickly with PI2.

Upon upgrading to PI2, the vast majority of your data in PI Hire — including jobs, targets, candidates, and links — will be preserved. However, your data likely will not be organized in the same way you’re used to.

In this article, we’ll show you how to ensure your data carries over to PI2 as seamlessly as possible.

Scenario #1: You have pending Job Assessment invites or inputs.

Any pending Job Assessment contributions at the time of upgrade will be lost. To ensure your hiring team has access to any Legacy PI data it needs, here are some best practices:

  1. Select any Job Assessment inputs you may need, and do so before your upgrade date. (Any unselected inputs will be lost upon upgrading to PI2.)

  2. Resend any pending JA invites if stakeholders have not completed it for a particular target. (Any pending JA invites will no longer function upon upgrading to PI2.)

  3. Refrain from sending out new JAs unless you are certain they will be completed prior to your upgrade date.

How to solve: Review the steps in this support article and ensure all stakeholder inputs have been enabled for any Job Targets being actively used by your hiring team.

Scenario #2: You have candidates organized in folders.

Folders in PI2 work differently than they did in Legacy PI. In the new software, folders are no longer used to organize candidates. Instead, candidates are tied directly to the job for which you are looking to hire.

Upon your upgrade date, all candidates organized in folders will be recategorized according to their associated Job Target.

Example: Your organization operates in the U.S. and has sales teams on both the West and East Coasts. In Legacy PI, you had a “Sales Manager” folder containing two sub-folders: “West Coast candidates” and “East Coast candidates.” The candidates in both sub-folders were associated with the same Job Target: “Inside Sales Manager (2025).”

In PI2, you will see a job titled “Inside Sales Manager (2025).” Your candidates will no longer be divided into “West Coast” and “East Coast” folders. Instead, they will all live within the Inside Sales Manager (2025) job.

How to solve: If you don’t use folders to segment candidates, you likely won’t experience much change with candidate organization in PI2.

If you do segment candidates using folders, there are a few ways to proceed:

Option A: Duplicate the Job Target in Legacy PI, then reassign candidates by location.

Prior to your upgrade date, you can duplicate the relevant Job Target and reassign candidates based on your desired segmentation. (This is our recommended option, especially if you’re looking to upgrade to PI2 with as little interruption to your workflow as possible.)

To do so:

  1. Create a new job in Legacy PI.

  2. Title the new job based on your segmentation needs.

    Example: You could title one job “Inside Sales Manager - East Coast” and another “Inside Sales Manager - West Coast.”

  3. Under “Job family,” select “No close match.”

  4. Create the job as normal.

  5. Choose to set a manual target.

  6. Replicate the Behavioral Target from the original job.

  7. Click “Accept Target” once satisfied.

  8. Return to the PI dashboard.

  9. Under “Recently Completed,” click “View All.”

  10. Filter completed assessments by “Candidates.”

  11. Select the checkboxes next to any relevant candidates.

  12. Click “Update job” within the Admin dropdown menu on the right-hand side.

  13. Search for the job you just created.

  14. Hit “Save” to confirm.

  15. Repeat this process as needed for any additional jobs and/or segmentations.

Important: Upon upgrading to PI2, make sure to share each job with the hiring manager and any relevant recruiters. Otherwise, they may not have the right access level to see the job (and by extension its candidates).

Option B: Wait until your upgrade date, then duplicate the job in PI2.

Upon upgrading, all of your jobs and candidates will be carried over to PI2. From here, you can duplicate jobs and reassign candidates however you’d like.

Warning: Because candidates are not organized by folder in PI2, you may encounter greater data issues if you wait until you’re upgraded to reorganize your candidates. To help mitigate this risk, we encourage you either:

  • Reorganize your candidates ahead of upgrade (see: Option A).

  • Export a CSV of all relevant candidate data in Legacy PI (so you can reference their folder paths when reorganizing candidates in PI2).

To organize candidates in PI2:

  1. Verify you have “product admin” or “organization admin” access privileges. This ensures you have access to view all jobs and candidates (crucial for reorganizing candidates).

  2. Copy the job from the Hire homepage. Repeat the process if you have multiple locations or divisions by which you’d like to segment candidates.

  3. Retitle these jobs based on your segmentation needs.

    Example: You could title one job “Inside Sales Manager - East Coast” and the other “Inside Sales Manager - West Coast.”

  4. Initially, any duplicated jobs will contain 0 candidates. However, you can bulk move candidates between jobs until you’re satisfied with the segmentation.

  5. Repeat this process as needed for any additional jobs.

Important: Once you’ve created the desired segmentation, make sure to share each job with the hiring manager and any relevant recruiters. Otherwise, they may not have the right access level to see the job (and by extension its candidates).

FAQs

Is there a way to copy the target in Legacy PI, rather than recreate it?

No. Unfortunately, Legacy PI does not have functionality to duplicate an existing Job Target.

If you’re concerned about accurately recreating the target:

  • Use the sigma lines on the original target as a guide.

  • Consider screenshotting the target or opening it in a separate window so you have it as a side-by-side reference.

You’re also welcome to wait until your upgrade date. Upon upgrading to PI2, you can copy a job (including the Job Target) in just a few clicks — no manual recreation necessary.

How do I know if I need to reorganize candidates ahead of my upgrade date?

Generally speaking, you only need to reorganize your candidates if you rely on folders to help segment candidates for a shared Job Target.

Provided you don’t have specific segmentation, the only other preparation step is to ensure all candidates in your system are properly tagged as “candidates.” Once done, you’re all set!
