Sharing a job

Learn how to share jobs in PI Hire with other team members. Grant view or edit access to specific jobs, and ensure smooth collaboration.

PI Hire users can share access to jobs with other existing users, as well as those not yet in the software.

Tip: Want to "hand over" a job outright to someone else (e.g., a hiring manager)? Transfer ownership of the job instead.

How does job sharing work?

Here is how sharing works by access level:

  • Admins can view, edit, and share all jobs.

  • Limited users can only view, edit, or share jobs that have been shared with them.

How to share a job

  1. Log in to the PI software.

  2. Select Hire from the top navigation bar.

  3. You'll land on the Hiring Center.

  4. Select the job you'd like to share.

  5. Click the "More actions" button in the top-right corner.

  6. Select "Share job" from the available options.

  7. A panel titled "Share [job name]" will appear, showing all existing users with access to the job.

  8. Enter the email address(es) of the person(s) with whom you'd like to share the job.

  9. Select the desired permission you’d like to grant: “View” or “Edit.”

  10. Click "Share job."

Existing users will receive an email notification with a link to log in. That link will take them directly to the job shared.

New users will get an email notification to create an account. Once the account is created, they can then log in to see the shared job. (These users will be given limited access by default.)

Permissions and exceptions

To grant Edit permission, users must first have Edit permission. The 2 types of users who can give Edit permission are:

  1. Admins

  2. Limited users who have been shared the job with Edit permission

This means that:

  • Users with View permission can only give View permission.

  • Users with Edit permission can give either Edit or View permission.

Note: A user with Edit permission can upgrade any user from View to Edit permission (including limited users) for this particular job.

How to remove access to a shared job

From the "Share [job name]" menu:

  1. Click the text “See who already has access to this job.”

  2. Search for the name or email address of the person whose access you’d like to remove.

  3. Click the ellipsis button to the right of the person's information.

  4. Select “Remove access.”

  5. Your changes will save automatically.

Note: You can only remove a person’s access if you are the original creator of the job, a person with edit access to the job, or an admin.

Admins cannot be removed from share access, as they have access to all jobs by default. Similarly, the job owner also cannot be removed.

FAQs

"X" person keeps receiving a notification whenever a candidate takes an assessment. How do I change that?

Candidate assessment notifications are handled at the job level in Hire. To change the notifications you (or another employee) receives:

  1. Visit the Assessment Settings page for the specific job.

  2. Expand the "Notifications" section.

  3. Modify the assessment notifications to your liking.

  4. Click "Save changes" to confirm.

Note: Even if a person is not listed by name in "Notifications," they might still be receiving notifications if they're sending assessments directly from Hire and "Assessment sender" is set to receive notifications.

I'd like to change the "job owner" for a job in Hire so they can get notifications. How?

To change the active owner, open the "Share" panel for that job, then transfer ownership of the job to the person who'd like to get notifications.

Tip: Make sure notifications are enabled for the job owner. To modify notifications, visit the Assessment Settings page for the job in question.

I shared a job, but "X" user can't see cognitive results. Why?

The user likely does not have cognitive access. (When granted, cognitive access allows a Hire user to see and send cognitive data.)

Sharing a job does not automatically grant cognitive access. Instead, a cognitive admin must manually grant cognitive access.

Is there a way to view job ownership for multiple jobs at once?

Yes. To easily view job ownership at a high level, return to the Hiring Center.

Here, within the "Jobs" tab, you'll see a list of job owners under the "Owned by" column.
