Modifying assessment settings (Hire)

Learn how to modify job-level settings such as assessment notifications and candidate assessment links.

This article applies to all Hire users in the PI2 platform.


Once you've created a job in Hire, you'll have an opportunity to edit assessment settings specific to that job, including email notifications and candidate link settings.

In this article, we'll walk through what job-level assessment settings are available and how to access them.

Note: Job-level assessment settings are different from platform-level assessment settings, the latter of which are set in PI Administration.

How to access assessment settings (Hire)

  1. Log in to the PI software.

  2. Select Hire from the navigation bar.

  3. You'll land on the Hiring Center.

  4. Select the job for which you're currently hiring.

  5. Click the "Job Details" tab.

  6. Select "Assessment settings" on the left-hand side (if not already selected).

  7. You will land on the assessment settings page for this job.

Important: Each job in Hire has its own assessment settings page. Modifying settings for a given job will only impact that job.

What job-level assessment settings are available?

There are 3 general categories within job-level assessment settings:

Assessment settings

"Assessment settings" consists of the following settings:

  • Autosend Behavioral Assessment results to the candidate - When enabled, the candidate will automatically receive a copy of their Behavioral Report upon completing the Behavioral Assessment.

  • Wait to send Cognitive Assessment until Behavioral Assessment completion - When enabled, the system will delay sending the CA to the candidate until the moment they complete the BA. (If disabled, the candidate will receive both the BA and the CA at the same time.)

Note: The "Wait to send Cognitive Assessment" setting only applies in cases where the user elects to send both the Behavioral Assessment and the Cognitive Assessment to a candidate. (Additionally, this setting does not apply to candidate links. See: next section.)

Link settings

"Link settings" consist of the following settings:

  • Autosend the Cognitive Assessment - When enabled, users will automatically receive an email to complete the Cognitive Assessment upon completing the Behavioral Assessment via this link.

  • Kiosk mode for Behavioral Assessment - When enabled, whenever someone takes the Behavioral Assessment via this link, the end screen will include a button that reads: "Click here to start a new assessment."

  • Unique link URL - Use this setting to customize the URL of this link to your liking. (Please note that you cannot customize the entire link, but rather the URL slug.)

  • Redirect URL - Use this setting to redirect the survey taker to a landing page of your designation upon completing the assessment via this link.

  • Copy assessment link - Use this button to copy the assessment link, so you can paste or share it elsewhere.

Note: In a previous iteration of the PI2 software, link settings were located on the "Edit link settings" peek panel. In the latest version of PI2, that panel has been deprecated.

Moving forward, all your link settings will live on the "Assessment settings" page within the "Job Details" tab.

Notifications

"Notifications" allow you to modify what email notifications people at your organization receive when a candidate associated with this job completes an assessment.

There are 3 types of notifications:

  • None - No notifications will be sent.

  • Completion email - An email notification will be sent whenever a candidate completes an assessment for this job.

  • Completion email + Behavioral Report - An assessment completion email will be sent, as well as a copy of the candidate's Behavioral Report. (Note: Due to the sensitive nature of cognitive data, there is no option to automatically receive a copy of the Cognitive Report.)

In addition to customizing the type of email notification you'd like PI to send, you can customize which people you'd like to receive which notifications.

By default, you'll see 2 notification recipients:

  • The assessment sender (this recipient only applies to assessments sent directly from PI Hire, not via invitation link)

Modify these settings (and/or add new recipients) to fine-tune the exact notifications your hiring team would like to receive for this job.

Important: Any modifications you make to notifications will apply to all assessments sent for this job (whether that's via email or link).

Example: Tamara is the current job owner for the Sales Manager role. Within notification settings, she is set to the "Completion email + Behavioral Report" notification level.

Whenever a candidate associated with this job completes an assessment (whether they did so via email or link), Tamara will be notified.

Exception: The "Assessment sender" notification only applies to assessments sent via email. If a candidate takes an assessment via link, only the job owner (if applicable) and any other stakeholders (again, if applicable) would be notified.

Adding/removing assessment notification recipients (Hire)

At any time, you can add/remove notification recipients who aren't already listed.

To add another notification recipient:

  1. Enter the person's email address under "Add another recipient."

  2. Click "Add."

  3. Hit "Save changes" to confirm.

To remove an existing notification recipient:

  1. Click the trash can icon next to the person you'd like to remove from the notifications list.

  2. Hit "Save changes" to confirm.

FAQs

General questions

Can I customize how long Behavioral Assessment invitations stay active before expiration?

Yes. However, this is a global setting that must be applied via the "Assessment settings" page in Administration. (Requires organization admin access.)

Can I customize how long Cognitive Assessment invitations stay active before expiration?

No. By default, Cognitive Assessment invitations stay active for 14 days before expiring. This default cannot currently be customized.

Can I enable a consent function for Behavioral Assessment takers?

Yes. However, this is a global setting that must be applied via the "Assessment settings" page in Administration. (Requires organization admin access.).

Assessment links

Do candidate assessment links expire?

Generally, no. Once you've created a job and copied/pasted its associated assessment link, that link will stay active for as long as your job stays active. Candidates who have the assessment link will be able to take the BA and/or CA for as long as the job exists.

Is it possible to terminate a candidate assessment link?

If you would like to terminate an existing link, delete the associated job. (The link will be terminated, and thus will no longer function when candidates click it.)

Tip: Don't want to outright delete the job? An alternative is to remove the candidate link from your job ad or anywhere else you're promoting the link. (The link will remain active, but candidates won't be able to find it.)

Is it possible to edit an existing candidate assessment link?

Yes. To do so:

  1. Log in to the PI software.

  2. Select Hire from the top navigation bar.

  3. Select the relevant job from the Hiring Center.

  4. Click the "Job Details" tab.

  5. Select "Assessment settings" on the left-hand side (if not already selected).

  6. You will land on the assessment settings page for this job.

  7. Expand the "Link settings" section.

  8. The existing assessment link settings associated with this job will appear.

  9. Confirm by clicking “Save changes.”

Once saved, any modifications you make will automatically apply to the live link. (No need to re-copy and repost the link.)

I'd prefer to send assessments to candidates without creating an assessment link. How?

You can send assessments to candidates right within PI Hire. To do so, refer to the following articles:

Is there a separate candidate assessment link for just the Cognitive Assessment?

No. Currently, the only way to send the Cognitive Assessment via invitation link is to enable Cognitive Assessment auto-send for the Behavioral Assessment link.

Essentially, this means there are 2 options:

  1. Share a candidate link for just the Behavioral Assessment.

  2. Share a candidate link for both the Behavioral Assessment and the Cognitive Assessment (via auto-send).

What is the difference between these links in Hire and the assessment link in Administration?

Assessment links in Hire are intended for candidates. When a candidate completes the Behavioral Assessment and/or Cognitive Assessment using a link in Hire, they will automatically be added as a candidate to the job associated with that assessment link.

The assessment link in Administration (and Inspire), meanwhile, is intended for employees only. When an employee completes the Behavioral Assessment using this link, they will automatically be added to your employee directory.

Important: Please be cognizant of which type of assessment link you are using, and where. Otherwise, it's possible candidates may appear in your employee directory (when they weren't hired), or employees may appear as candidates (for a job they didn't apply to).

Kiosk mode

Is there a kiosk mode I can enable for events (e.g., job fairs)?

Yes. To enable kiosk mode for a candidate link:

  1. Expand the "Link settings" section.

  2. Click the "Enable kiosk mode" checkbox.

  3. Confirm with "Save changes."

How does kiosk mode work?

When kiosk mode is enabled, whenever someone takes the Behavioral Assessment via this link, the end screen will include a button that reads: "Click here to start a new assessment."

This allows whoever is running the kiosk to quickly reset the Behavioral Assessment for the next assessment taker.

Assessment notifications

I'm not getting notifications from my assessment link. Why?

There are two possible reasons why you might not be receiving notifications:

  1. Your assessment link notifications are set to "none."

  2. You're not currently added as a notification recipient.

To troubleshoot either issue, follow the above instructions for "Adding/removing assessment notification recipients."

Is it possible to auto-send the Behavioral Report to "X" employee(s) at my organization? How?

Yes. To do so:

  1. Expand the "Notifications" section within "Assessment settings."

  2. Select the "Completion email + Behavioral Report" notification for the desired recipient(s).

  3. (Optional) Add additional recipients.

  4. Click "Save changes" to confirm.

Assessment emails

If I enable Cognitive Assessment auto-send for an assessment link, how many emails will the candidate receive?

The candidate will receive 2 emails in total:

  1. The first email will invite them to complete the PI Behavioral Assessment ("BA").

  2. Upon completing the BA, they will receive a second email inviting them to complete the PI Cognitive Assessment ("CA").

Note: These emails are always sent sequentially, with the BA email being sent first and the CA email being sent once the candidate completes the BA.

Cognitive Assessment auto-send

"X" candidate assessment link isn't auto-sending the Cognitive Assessment. Why?

The candidate assessment link associated with this job likely does not have Cognitive Assessment auto-send enabled. Make sure you've enabled this setting, then see if the issue resolves.

The "Cognitive Assessment auto-send" option is greyed out. Why?

You must have cognitive access to send the PI Cognitive Assessment. To gain access, reach out to a cognitive admin.

I forgot to enable the Cognitive Assessment auto-send. Can I still send the CA to candidates who have completed the Behavioral Assessment?

Yes. While you won't be able to send the Cognitive Assessment via link for these candidates, you can still manually send them the CA. To do so:

  1. Search for the job associated with this assessment link.

  2. Click into that job.

  3. Select the "Candidates" tab (if you didn't already land there).

  4. Under "Cognitive Fit," you will see a "Send Cognitive" button if the candidate has not been sent the Cognitive Assessment.

  5. Select "Send Cognitive" for all candidates who haven't already taken the assessment. (If a candidate has already been sent the assessment, you will instead see a "Resend Cognitive" button.)
