This article applies to all Inspire users in the PI2 platform.
Use the Employees tab to view your employee list and perform various administrative tasks in Inspire.
In this article, we'll walk through all the actions you can perform from this screen.
What can I do from the Employees tab?
The Employees tab lets you perform the following actions:
Send an assessment to an employee
Grant an employee access to use the Inspire software
Bulk-download Inspire reports or bulk-send them to employees
Run a Group Analytics report containing a group of employees
Note: Currently, bulk actions only apply to the latter 2 actions: sending employee reports and running Group Analytics reports.
To bulk-send assessments to employees, use your employee assessment link in Inspire or upload an org file via PI Administration.
To grant software access in bulk, upload an org file or invite users via PI Administration.
How to access the Employees tab (Inspire)
Log in to the PI software.
Select Inspire from the top navigation bar.
From the Inspire homepage, select the Employees tab.
How to send an assessment to an employee
Click the “Send Assessment” button in the top-right corner.
Enter the email address and name of the employee you'd like to assess.
(Optional) Add the person’s manager from the dropdown options.
(Optional) Choose to auto-send the Behavioral Report to the assessment taker upon completion.
Click "Send Assessment."
The employee will be sent the following email inviting them to take the assessment.
Tip: Want to send assessments faster? You can do so by using the employee assessment link in Inspire, or by uploading an org file in Administration.
How to grant an employee software access to Inspire
Sending an assessment to an employee does not grant them access to view their Inspire data.
To grant them access to Inspire, you'll want to invite that person into the software.
From the Employees page:
Search for the person's name or email.
Click the ellipsis button on the right-hand side.
Click "Grant Inspire software access" from the dropdown options.
The employee will be sent the following email inviting them to join you in Inspire.
Tip: Want to grant software access faster? You can do so by uploading an org file in Administration.
How to send and/or download Inspire reports in bulk
Check the box next to any employee(s) whose reports you'd like to send and/or download.
Click the "Actions" button.
Select "Download or Email Reports" from the dropdown options.
A panel titled "Download or Email Reports" will open.
Select the reports you'd like to email and/or download.
Click "Next step: Select actions."
A summary page will appear. Review to make sure you've selected the correct reports.
Select whether to download the reports as a zip file or email them as individual kits to the selected employees. (You can select both options if you'd like.)
(Optional) Rename the zip file. (Example: Q1 Department Workshop, 2026)
Click "Download and email reports" to confirm.
A "Processing..." message will appear in the bottom-right corner. Please give the system a few minutes to complete your request.
A "Success" message will appear upon completion.
If you selected the download option, a zip file will automatically download via your browser.
If you selected the email option, each selected employee will be sent an email containing their own individual report kit.
Tip: Looking to bulk-send a single employee's report kit to multiple people at once (the employee, their manager, etc.)? You can do so from that employee's page in Inspire.
How to run a Group Analytics report from Inspire
Check the box next to any employee(s) who you'd like to include in a Group Analytics report.
Click the "Actions" button.
Select "View in Group Analytics" from the dropdown options.
You will be brought to the Group Analytics page within the software. The employees you specified will be pre-populated in the selection field.
(Optional) Add any additional employees you'd like to include in the report.
(Optional) Add a job to the Group Analytics report (if applicable).
Click "Create Report" to run the Group Analytics report.

Sending assessments
Are there any notifications tied to employee assessment completion?
Are there any notifications tied to employee assessment completion?
Yes. By default, any person who sends the PI Behavioral Assessment to a co-worker will receive a notification once that colleague has completed the assessment.
Is it possible to modify these assessment notifications?
Is it possible to modify these assessment notifications?
Currently, you cannot modify notifications for assessments sent directly from Inspire.
However, you can modify notifications when using your assessment link. Learn more about editing employee assessment link settings. (Requires admin permissions.)
Does sending the Behavioral Assessment grant access to the Inspire software?

No. Sending an assessment to an employee does not grant them access to Inspire.
To grant them access to Inspire, you’ll want to invite that person into the software. (See: How do I invite an employee into Inspire?)
Is it possible to send assessments to employees via invitation link?
Is it possible to send assessments to employees via invitation link?
Yes. Provided you're an organization admin, you can access an employee assessment link from PI Administration. Copy and share this link with whichever employees you'd like to invite to complete the Behavioral Assessment.

How do I tell who sent an employee a Behavioral Assessment?
You can see who administered an assessment from either Inspire or Administration.
Option 1 - From Inspire:
Click on an employee's Behavioral Report page in Inspire.
Scroll to the bottom of the page.
You'll see the person who administered the assessment where it says "Administered By" within the "Behavioral Assessment Details" box.
Option 2 - From Administration:
Click on an employee's name in the employee directory.
Click the "Manage assessment" button.
You'll see the person who administered the assessment within the "Assessment by" box.
Note: Viewing the "Manage assessment" panel from Administration requires admin permissions. If you are a limited Inspire user, you'll want to stick with Option 1.
Taking the assessment

An employee told me the assessment is greyed out. What now?
If an employee reports the Behavioral Assessment is greyed out, there are 2 common reasons why:
Scenario #1: The employee is referring to their name and email address. These fields are pre-filled when you send the assessment to them via PI, and cannot be modified.
How to solve: Ask the employee to review their information. Provided everything looks good, they should scroll down, click "Continue," and take the Behavioral Assessment as normal.
(If their name or email is incorrect, you can edit the employee's details at any time.)
Scenario #2: The employee selected the "I have already taken the PI Behavioral Assessment..." checkbox, inputted a number or response, then tried to proceed.
How to solve: If the employee has a valid Behavioral Score ID, they can enter it and submit their behavioral results without retaking the assessment.
Otherwise, ask the employee to deselect the checkbox, click "Continue," and take the Behavioral Assessment as normal.

There are two ways to invite employees into Inspire:
Admins can invite them from the Administration page. (Individual or bulk invites)
Inspire users can invite them from the Employees page. (Individual invites only)

The ability to send software invitations is a permission that must first be enabled by an Inspire admin or organization admin.
To enable this permission, share the following instructions with an admin:
Log in to the PI platform.
Click the gear icon (
) in the top-right of the navigation bar.
You will land on the People tab within the Administration page.
Search for the name or email of the person whose Inspire permissions you’d like to change.
Click on the person’s name.
You will land on a page titled Edit User Record.
Under User Product Access, select the checkbox next to “Can invite co-workers.”
Click Save Changes.

Admins can resend invitations from the Administration page.
To do so:
Log in to PI Inspire.
Click the gear icon (
) in the top-right of the navigation bar.
You will land on the People tab within the Administration page.
Search for the name or email of the person you'd like to reinvite to Inspire.
Click the ellipsis icon (
) on the right-hand side.
Select Resend invitation from the options.
A new invitation email will be sent to the person's inbox.
Do Inspire software invitations have an expiration date?
Do Inspire software invitations have an expiration date?
No. Once an Inspire software invitation is sent, it does not expire. (The same goes for any PI product invitations.)
Instead, you can manually revoke an employee's software invitation(s) from Administration. (See: Is it possible to revoke an existing software invitation?)
Note: Revoking an employee's PI software invitation requires admin privileges.
Is there a limit on the number of Inspire users I can invite to the software?
Is there a limit on the number of Inspire users I can invite to the software?
The answer depends on whether you’ve signed up for a timed trial or a paid subscription.
Timed trial: There is no limit on the number of Inspire users your organization can have.
Paid subscription: If you add more Inspire users than your subscription supports, you’ll be prompted to upgrade once your current subscription lapses.

Log in to PI Inspire.
Click the gear icon (
) in the top-right of the navigation bar.
You will land on the People tab within the Administration page.
Search for the name or email of the person whose access you’d like to change.
Click on the person’s name.
You will land on a page titled Edit User Record.
Under User Product Access, select the desired access level for Inspire.
(Optional) Select/deselect the checkbox next to "Can invite co-workers."
Click Save Changes.

How do I remove a co-worker from Inspire?
To remove a co-worker from Inspire, you can archive that employee. Doing so will revoke their software access and retire their data from Inspire.
Note: If you wish to keep a co-worker’s Inspire data but prevent them from accessing the Inspire software, we recommend you instead set their access level to “no access.”
