Co-branding and customizing software emails

Learn how to co-brand and customize software emails sent by PI, and personalize these emails to better reflect your organization.

This article applies to organization admins in the PI2 platform.


Want to modify emails sent from the PI software so they better reflect the tone, voice, and brand of your organization? You can co-brand and customize the default messaging of these emails from the Organization Settings tab.

What co-branding options are available?

PI supports the ability for an organization admin to upload a company logo. Once this logo is uploaded, the org admin can choose whether to add the logo to assessment emails sent from PI, the PI assessment site, or both.

Note: Only 1 company logo can be uploaded at a time. This logo is an organization-wide setting, and will therefore apply to all assessment emails sent from the PI software.

How to co-brand PI software emails

  1. Log in to the PI software.

  2. Click the gear icon in the top-right corner.

  3. Select the "Organization Settings" tab.

  4. Click "Co-Branding and Email Templates" on the left-hand side.

  5. You will land on a page titled “Co-Branding and Email Templates.”

  6. Click the rectangle titled "Drag and drop files here, or click to browse."

  7. Upload a logo in either a PNG, JPG, or JPEG format. This file must not exceed 1MB, and should ideally have a width of 200px. (SVG files are not currently supported.)

  8. Select whether to add this logo to assessment emails, the assessment site, or both. (If neither option is selected, this logo will not show up anywhere.)

  9. Hit "Save Changes" to confirm.

How to modify software email copy

From the "Co-Branding and Email Templates" page:

  1. Scroll down to the section titled "Email Message Customization."

  2. Click the dropdown and select the email template you’d like to modify.

  3. (Optional) Replace the subject line with new or updated copy.

  4. (Optional) Replace the existing email copy with a new or updated message.

  5. Click "Save Changes" to confirm.

What email templates can I customize?

You can currently customize 5 candidate-facing software emails:

  • The Behavioral Assessment invitation email

  • The Cognitive Assessment invitation email

  • The Behavioral Assessment reminder email

  • The Cognitive Assessment reminder email

  • The Behavioral Assessment completion email

What emails does my co-branding apply to?

Provided you've uploaded a logo and selected "Add logo to assessment emails," your co-branding will appear on the following 5 candidate-facing software emails:

  • The Behavioral Assessment invitation email

  • The Cognitive Assessment invitation email

  • The Behavioral Assessment reminder email

  • The Cognitive Assessment reminder email

  • The Behavioral Assessment completion email

Note: Your logo only applies to emails sent after the time you've uploaded and enabled co-branding. It does not retroactively apply to past emails sent.

FAQ

General questions

What copy can I customize for a specific email template?

When editing an email template, you can customize the following:

  • The subject line of the email

  • The body of the email

Note: Certain email templates may have preset content that cannot be customized. Typically, any body copy you customize will be placed below any preset copy in the email, where applicable.

Can I customize the sender name for an email template?

No. Currently, it is not possible to customize the sender name for a specific email template.

By default, the sender name for most emails sent from the PI2 software will be your organization name, as spelled/formatted in the top-right corner of the software.

Note: If your organization name is incorrect or outdated, please reach out to your PI consultant so they can update it for you.

If I customize an email, will those changes impact others at my organization?

Yes. Any changes you make to an email template will apply to all emails of that type sent out by your organization.

Example: An organization admin changes the default copy for the PI Behavioral Assessment email. If a recruiter uses PI Hire to send the BA to a candidate, the email sent to the candidate will contain the new language set by the org admin.

Can I customize the invitation emails to specific PI products (Inspire, Perform, etc.)?

No. Currently, the only email templates you can customize from Administration are the 5 assessment emails listed above. All other emails — including invitation emails to each of the 5 PI products — cannot be customized at this time.

Exception: If you're emailing candidate reports from Hire or employee reports from Inspire, you will have an opportunity to customize the accompanying email before you send those reports. (This is done directly from Hire or Inspire, and does not require organization admin access.)

Email templates

Can I modify the Cognitive Assessment completion email?

No. Currently, we only support platform-level email customization for candidate-facing software emails.

The candidate does not receive the Cognitive Assessment completion email — only the assessment sender and/or job owner in Hire does — which is why the email is not included in the list above.

Troubleshooting

I don't see an option to customize email templates. Why?

You must be an organization admin to customize email templates.

When I select a template, I don't see any text in the "subject" or "message" fields. Why?

If you don't see any text in these fields, it means you're currently using the default language from PI for the selected template.

You can override this language by typing your own custom copy into the subject and message fields.

Email template languages

Is it possible to change the default language of a specific email?

No. Currently, emails are sent in English only.
