Downloading survey reports

Learn how to download survey reports and other PI Diagnose resources, so you can share and take action on the results.

This article applies to all Diagnose users in the PI2 software.


Once a survey has been sent, completed, and subsequently closed, the results can be viewed from the Analyze page.

While detailed survey insights can be viewed right from the software, you might prefer to download or print the data to share with team members or other organizational leaders.

In this article, we'll explore how to download survey reports, action plans, and other key resources.

What survey reports are available in Diagnose?

Diagnose offers a variety of resources to help you understand and act on survey results. The specific resources available depend on which survey you have sent: either the PI Employee Experience ("XP") Survey or one of PI's pulse surveys.

XP Survey reports

The XP Survey supports 3 different types of reports:

  • Organization reports: Includes feedback from everyone at your organization who completed the survey.

  • Overall manager reports: Includes feedback from every survey respondent who rolls up to a specific manager (e.g., a department report).

  • Direct manager reports: Includes feedback only from respondents who directly report to a specific manager (e.g., a team report).

Once you click into a specific report category, you'll find different resources based on your selection.

Organization reports

You can select from 4 different organization reports:

  • Organization summary (PDF): A full readout of engagement results for your organization. Includes a breakdown of your five overall health scores (Job, Manager, People, Organization, and Engagement), a list of your top strengths and caution areas, and individual question scores and benchmark comparisons.

  • Organization action plan (PDF): A more detailed readout of your engagement caution areas. Each caution area also includes potential actions you or others can take within the organization to make improvements.

  • Organization open-ended feedback (PDF): A question-level readout of all open-ended feedback submitted by respondents. Responses are anonymized.

  • Data export (CSV): An aggregated summary of all respondent feedback (done to protect anonymity). Includes a list of all survey questions, each question's associated JMPOE category, the response rate, and a breakdown of answers both as a percentage and as a total count.

Overall manager reports

You can download 2 different overall manager reports:

  • Overall team summary (PDF): A full readout of engagement results for a manager's overall team. Includes a breakdown of the five overall health scores (Job, Manager, People, Organization, and Engagement), a list of the team's top strengths and caution areas, and individual question scores and benchmark comparisons.

  • Overall team action plan (PDF): A more detailed readout of the overall team's engagement caution areas. Each caution area also includes potential actions the team or its leadership can take to make improvements.

Direct manager reports

Similar to overall manager reports, you can download 2 types of direct manager reports:

  • Direct team summary (PDF): A full readout of engagement results for a manager's direct team. Includes a breakdown of the five overall health scores (Job, Manager, People, Organization, and Engagement), a list of the team's top strengths and caution areas, and individual question scores and benchmark comparisons.

  • Direct team action plan (PDF): A more detailed readout of the direct team's engagement caution areas. Each caution area also includes potential actions the team or its manager can take to make improvements.

Pulse survey reports

If you sent out a Diagnose pulse survey, you won't be able to download a traditional survey report. Instead, you'll be able to download a raw data export (CSV).

This file contains an aggregated summary of all respondent feedback. (This is done to protect anonymity.)

The CSV will include:

  • A list of all survey questions

  • Each question's associated JMPOE category (Job, Manager, People, Organization, or Engagement)

  • How many respondents answered each question

  • A breakdown of favorable, neutral, and unfavorable feedback (both as a percentage and as a total count)

  • A breakdown of answers based on each Likert option (both as a percentage and as a total count)

How to download survey reports

  1. Log in to the PI software.

  2. Select Diagnose from the top navigation bar.

  3. You will land on the Survey Center.

  4. Select the survey whose data you'd like to download as a report.

    Note: The survey must be marked as "closed" before you can download its reports.

  5. You will land on the Analyze tab of the selected survey.

  6. Click the "Download" button in the top-right corner.

  7. Select the type of report(s) you'd like to download.

  8. A side panel will open based on your selection.

  9. Select any resources you would like to download.

  10. If you're downloading a manager report (either "Overall manager reports" or "Direct manager reports"), you'll be prompted to select the relevant manager(s).

  11. Search for and select the manager(s) whose resources you'd like to download.

  12. Click the "Download Items" button to confirm.

Note: If you download multiple resources (or reports for multiple managers), they will download as individual files.

FAQs

General questions

What's the difference between an "Overall manager report" and a "Direct manager report"?

Generally speaking, an overall manager report includes more respondents than a direct manager report:

  • Overall manager reports include feedback from every survey respondent who rolls up to a specific manager (e.g., an entire department).

  • Direct manager reports include feedback only from respondents who directly report to a specific manager (e.g., a specific team).

Example: Your marketing department is run by the Chief Marketing Officer (CMO). This person has 5 VPs who report to her, 10 directors a level underneath, 25 managers another level down, and finally 100 individual contributors.

If you download the CMO's overall manager reports, you would pull data from anyone underneath the CMO (i.e., the entire marketing department).

If you instead download the CMO's direct manager reports, you would pull data only from those who directly report to the CFO (e.g., her 5 VPs).

Are there any limitations or restrictions to protect anonymity?

Yes. You can only download a survey report when there are at least 5 responses.

Is the manager's own XP Survey feedback included as a response?

The answer depends on the specific respondent subset group:

  • Organization reports: Yes, manager XP Survey feedback is included as a response (since this is an organization-wide readout).

  • Overall manager report / Direct manager report: No, the manager's own XP Survey feedback is not included as a response (since these reports are designed to solicit feedback from the people they manage).

Can I preview what these reports look like?

Yes. You can view various sample reports here.

Bulk actions

I need to download reports for multiple managers at once. Can I do that?

Yes, you can download manager reports in bulk. To do so:

  1. Select which type of manager report you'd like to bulk download: either overall manager reports or direct manager reports.

  2. A side panel will open based on your selection.

  3. Select which resource(s) you would like to download: the team summary, the team action plan, or both.

  4. Next, where it says "Select managers," you can perform a bulk select.

  5. Search for and select a specific manager.

  6. Continue to search and select managers as needed.

  7. Once you've selected all managers for whom you'd like to download reports, click the "Download Items" button.

  8. Doing so will perform a bulk download of all selected resources, for each selected manager.

Note: Because "overall manager reports" and "direct manager reports" are located in separate side panels, it is not currently possible to bulk download both report types at the same time.

We recommend performing 2 bulk actions: first for any overall manager reports you'd like to download, then again for any direct manager reports.

Troubleshooting questions

The "Download" dropdown button is greyed out. Why?

There are 2 common reasons why you might not be able to click the download reports dropdown:

  • The survey hasn't been closed. (You cannot download reports for a survey that is "drafted," "live," or "ready to close.")

  • The survey didn't receive enough responses to generate a report. (To protect anonymity, surveys must receive at least 5 responses to allow for downloadable reports.)

My survey says "Ready to close." What now?

If your survey says “Ready to close”:

  1. Click into that survey from the Survey Center.

  2. Hit the “Close Survey” button next to the survey’s name.

Doing so will officially close the survey, allowing you to filter the results.

I can't download a report for "X" manager. Why?

To protect employee anonymity, you cannot download a survey report that has fewer than 5 responses.

If the manager has fewer than 5 employees, or they didn't get enough survey participation, it's possible you won't be able to pull their survey report(s).

Survey filters

I've enabled survey filters. Will those carry over to my report?

No. Any survey filters you use are specific to the data you see in the software.

Instead, we recommend selecting a respondent subset group that best aligns with the survey resources you'd like to download.
