Looking to preserve a copy of your Diagnose survey data? In this article, we'll walk through how to export Diagnose data, both from PI2 and from Legacy PI.
Note: Diagnose supports bulk exports of reports associated with a single survey. (For example, a user can bulk-download all direct manager reports for your most recent Employee Experience Survey.)
However, Diagnose does not support bulk exports of all reports across all surveys. (A user cannot export all historical XP Surveys reports, all at once.)
Tip: Any Diagnose user can export survey data. However, we recommend an Organization Admin or Diagnose Admin (in PI2) or an Account Owner or Admin (in Legacy) perform this export, as these permission levels will have access to view all surveys, not just their own.
How to export Diagnose data (PI2)
Log in to the PI software.
Select Diagnose from the top navigation bar.
You will land on the Survey Center.
Select the survey whose data you'd like to export.
You will land on the Analyze tab of the selected survey.
Click the "Download" button in the top-right corner.
Select the type of report(s) you'd like to export.
A side panel will open based on your selection.
Select any resources you would like to export.
If you're exporting a manager report (either "Overall manager reports" or "Direct manager reports"), you'll be prompted to select the manager(s) whose resources you'd like to export.
Search for and select specific managers, or hit "Select all" to export all manager reports associated with this survey.
Click the "Download Items" button to confirm.
Repeat as needed for your other Diagnose surveys in PI2.
Note: If you export multiple resources (or reports for multiple managers), they will download as individual files.
Important: Organization reports, overall manager reports, and direct manager reports are all separate bulk actions. To export all data associated with a single XP Survey, you'll want to perform this export multiple types: once for each of the 3 report types.
Pulse surveys only support a single download option (.CSV export). For this reason, you'll only need to perform the export once per pulse survey.
How to export Diagnose data (Legacy PI)
Log in to the PI software.
Hover over "Diagnose" in the top navigation bar.
Click "Employee Experience."
You will land on the Action Center.
Click the tab titled "Your Surveys."
Click on the survey whose data you'd like to export.
Click the "View Insights" tab.
Look for the "Reports" panel further down the page.
You will see 2 options:
Download Your Reports: Downloads a .ZIP file of your Organization Report, manager's Team Reports, and open-ended survey comments.
Download Survey Data: Downloads a .CSV file of your survey results data by category (i.e., engagement, job, manager, people, organization).
Select whichever option(s) best fits your export needs.
The relevant file (either .ZIP or .CSV) will download via your browser.
Repeat as needed for your other Diagnose surveys in Legacy PI.

To figure out your version of the PI software:
Log in to the PI software.
You will land on the software's dashboard.
If you are using PI2, you will see a solid purple background saying "Welcome back, [NAME]." Various PI product names will be listed on a dark-blue banner at the top of the page.

If you are using Legacy PI, you will also see a purple background, but the text will say "Send Behavioral Assessment To Employees." Various PI product names will be listed on a white banner at the top of the page.

I need to download reports for multiple managers at once. Can I do that?
Yes, you can download manager reports in bulk. To do so:
Select which type of manager report you'd like to bulk download: either overall manager reports or direct manager reports.
A side panel will open based on your selection.
Select which resource(s) you would like to download: the team summary, the team action plan, or both.
Next, where it says "Select managers," you can perform a bulk select.
Search for and select a specific manager.
Continue to search and select managers as needed.
Once you've selected all managers for whom you'd like to download reports, click the "Download Items" button.
Doing so will perform a bulk download of all selected resources, for each selected manager.
Note: Because "overall manager reports" and "direct manager reports" are located in separate side panels, it is not currently possible to bulk download both report types at the same time.
We recommend performing 2 bulk actions: first for any overall manager reports you'd like to download, then again for any direct manager reports.

There are 2 common reasons why you might not be able to click the download reports dropdown:
The survey hasn't been closed. (You cannot download reports for a survey that is "drafted," "live," or "ready to close.")
The survey didn't receive enough responses to generate a report. (To protect anonymity, surveys must receive at least 5 responses to allow for downloadable reports.)
My survey says "Ready to close." What now?

If your survey says “Ready to close”:
Click into that survey from the Survey Center.
Hit the “Close Survey” button next to the survey’s name.
Doing so will officially close the survey, allowing you to export the data.

To protect employee anonymity, you cannot download a survey report that has fewer than 5 responses.
If the manager has fewer than 5 employees, or they didn't get enough survey participation, it's possible you won't be able to pull their survey report(s).
