Managing multiple Behavioral Assessments for a candidate

Learn how to manage multiple sets of Behavioral Assessment results for a candidate, and ensure you're assessing the correct results.

This article applies to all Hire users in the PI2 software.


Occasionally, you may try to assess a candidate only to find out they completed the PI Behavioral Assessment ("BA") sometime in the past.

Currently, the PI2 system does not support the ability to manage multiple candidate BAs within the software. However, you can reach out to our support team at any time to ensure the correct results show in the system.

Let's walk through the process in greater detail.

How PI Hire handles multiple candidate BAs

In most clients use cases, candidates are assessed in the system, then either deleted or anonymized once the hiring cycle has ended.

However, there are instances when a user or hiring team may decide not to delete or anonymize old candidate records. For instance, they may prefer to keep candidate records on hand so they can reach back out when new job roles open up.

In PI2, the system is designed to only display one pair of BA results at a time. If your team maintains an older candidate record that was never deleted or anonymized, if you try to re-assess them, the system may explain that this candidate has already taken the PI Behavioral Assessment.

You can proceed in 1 of 2 ways:

Important: If you decide to re-assess a candidate with existing Behavioral Assessment results, the system will not automatically change to reflect the new set of results. Instead, it will continue to display the oldest set of results associated with the candidate.

How do I set a candidate's new BA results as active?

If a candidate retakes the BA (i.e., via candidate assessment link), there is no way to manually modify their results from the PI software.

Instead, please submit a PI Support ticket containing the following information:

  • Your organization's name

  • The candidate's name and email address

  • The completion date of the BA (or the Behavioral Score ID) you'd like to set as active

Behavioral Assessments from past employers

If a candidate took the BA at a different organization, will their results display in our organization's instance of Hire?

No. If the candidate previously took the BA with a different organization, that data is kept solely with that administrator. We never share BA data between organizations.

Important: If a candidate took the BA with a past employer, that has no bearing on what you'll see in Hire for your organization. If this is the first time you're sending this candidate the BA, the only results that will surface will be from that same invitation.

You'll only need to manage multiple BAs for a candidate if your organization assessed the candidate once, then decided to re-assess that same candidate using a candidate assessment link.

Is there a way to recover a candidate's BA that they took for a different employer?

As part of our privacy policy, we cannot disclose behavioral data from another PI client. However, you may be able to recover the BA depending on the situation:

  • If the candidate has the Behavioral Score ID (BSID) associated with their past results, they can enter it when prompted to take the BA for your organization. (This will populate their previous results rather than have them retake the BA.)

  • If the candidate does not have their BSID handy, that data cannot be recovered unless they reach out to the previous administrator. In this case, we recommend they simply take the BA fresh for your organization.
