Managing existing review cycles

Learn how to manage existing review cycles in PI Perform, so you can monitor progress, view completed reviews, and more.

This article applies to Perform admins and organization admins in the PI2 platform.


After you’ve drafted, scheduled, and/or launched a review cycle, you can manage existing review cycles from the Review Administration page.

How to view existing review cycles

  1. Log in to PI Perform.

  2. Click the "Reviews" menu.

  3. Click "Review Administration" from the available options.

  4. You will land on the "Review Cycles" tab.

Here, you will see a list of drafted, scheduled, in-progress, and closed reviews.

Drafted cycles

Click on a drafted review cycle, and you'll return to your draft so you can make changes or launch your review cycle.

Scheduled cycles

Similarly, you can click on a scheduled draft to review configured settings (including the schedule date) and revert to a draft if needed.

Tip: Need to "un-schedule" or modify a scheduled review cycle? You can do so by reverting your review cycle to a draft. (See FAQ question: "I'd like to modify a scheduled review cycle or select a new date. How?")

In-progress cycles

You can take the following actions within an in-progress cycle:

Monitor completion progress

Click on an in-progress review cycle, and you will be brought to a summary page containing a list of all review recipients along with the status of each person’s review.

You can also track completion rates, how many reviews have been shared, and whether recipients have opened them.

Add employees to the cycle

If certain employees were left out of the review cycle, you can add them by clicking the "Add review recipient" button on the right-hand side, searching for the employees, and confirming with "Add recipients."

Send review reminders

If a self or manager review is incomplete, you can send a reminder notification. To do so, click the ellipsis button, then select either "Self review reminder" or "Manager review reminder."

Reopen completed reviews

If a self or manager review has been completed, but the reviewer would like to make changes, you can reopen their review. To do so, click the ellipsis button, then select either "Reopen self review" or "Reopen manager review."

Note: You can only reopen a review if the manager hasn't already shared the review with the employee.

Transfer review duties between managers

If an employee's manager has changed, or the manager would like to defer review-writing duties for this cycle, click the ellipsis button, then "Transfer review manager duties," and select a new manager.

Remove employees from the cycle

To remove an employee from the review cycle entirely, click the ellipsis button, then "Remove from review cycle."

View completed reviews

You can view any person’s completed review by clicking the ellipsis button, then selecting “View final review.” (You can only view a person’s review once their manager has shared the review with them.)

Close the review cycle

If you've satisfied with the participation rate for your reviews cycle, you can close it at any time by clicking "Close cycle" in the top-right corner.

Note: Once a review cycle is closed, it cannot be reopened. Please ensure you're satisfied with the completion rate before continuing.

Closed cycles

Click into a closed review cycle to view completion data and/or read specific reviews.

FAQs

Scheduled cycles

I'd like to modify a scheduled review cycle or select a new date. How?

To modify a scheduled review cycle or select a new date, first revert that cycle to a draft state.

To revert to a draft state:

  1. Select your scheduled review cycle from the "Review Administration" page.

  2. Click "Revert to draft" in the top-right corner.

  3. Click "Yes, revert to draft" to confirm.

  4. Your review cycle will revert to a draft state, allowing you to edit details freely.

To reschedule your review cycle:

  1. From the "Review & launch" page, select "Schedule for later" on the right-hand side.

  2. Select a new launch date and time.

  3. Click "Schedule launch."

  4. Review the details and click "Schedule launch" to confirm.

  5. Your review cycle will be rescheduled.

In-progress cycles

Can I add employees to a live review cycle?

Yes. To add employees to an in-progress review cycle:

  1. Click the "Add review recipient" button on the right-hand side.

  2. Search for the employee(s) you'd like to add.

  3. Confirm by clicking "Add recipient(s)."

The selected employee(s) will be added to the review cycle and prompted to complete their Self review.

Can I reopen a person’s review submission if requested?

Yes. To reopen a review:

  1. Click into your review cycle from the "Review Administration" page.

  2. Find the employee whose self or manager review you'd like reopen.

  3. Click the ellipsis button, then select either "Reopen self review" or "Reopen manager review."

Note: You can only reopen a review if the manager hasn't already shared the review with the employee.

I'm trying to reopen a self/manager review but cannot. Why?

You can only reopen a review if:

  • Your review cycle is still "in progress."

  • The manager hasn't already shared the review with the employee.

All our reviews are in! Can I close the review cycle?

To close a review cycle:

  1. Click into your review cycle from the "Review Administration" page.

  2. Select "Close survey" in the top-right corner.

  3. A pop-up will appear explaining that this action cannot be undone. Please review this information before proceeding.

  4. Acknowledge you've reviewed the information.

  5. Click "Close review cycle" to confirm.
